QuickBooks Online / Expenses
Expense management integrations for QuickBooks Online: cards, receipts and reimbursements
Short answer. Card-first tools (Ramp, Brex) sync coded card transactions straight into QuickBooks Online; Ramp also syncs reimbursements as bills. Report-first tools (Expensify, Zoho Expense) export approved reports as bills or journals and pull your categories and classes from QuickBooks. Dext is for receipts and supplier bills captured by bookkeepers. Check your plan: bills and reimbursements usually need QuickBooks Essentials or higher.
Check before you connect
- QuickBooks planBills and reimbursement sync often need Essentials or higher; Simple Start gets journals or cash entries instead.
- Edits after syncSeveral tools lock accounting fields after sync, so corrections happen in QuickBooks.
- Categories and classesCheck that your chart of accounts, classes and locations import as categories or tags.
- ReceiptsConfirm receipts attach to the QuickBooks record, not just the expense app.
Connections, by situation
Corporate cards with reimbursements

- →Bills and bill payments
- ⇄Vendors, accounts, categories

Cards with review before export
Brex
- →Card transactions with GL coding
- ←QuickBooks fields and values
- →Reimbursements
- →Bills
Brex pulls your QuickBooks fields, suggests GL mappings and exports reviewed transactions from its Accounting tab.
Watch out: Accounting fields cannot be edited after export; large exports may need splitting.
Low-cost reports, any QuickBooks plan
Zoho Expense
- ←Expense accounts as categories
- ←Customers, projects, classes, locations
- →Reimbursable reports as bills or journals
- →Non-reimbursable expenses
Zoho Expense works with Simple Start through Advanced, importing categories, customers and classes and exporting reports on approval.

Receipts and supplier bills
Dext Prepare
- →Receipts and bills (published as paid or bill)
- →Credit notes
Dext publishes captured receipts and bills to QuickBooks Online as paid items or bills, with supplier rules to preset coding.

Card-first or report-first?
If most spend is on company cards, a card-first tool keeps receipts attached and codes spend as it happens. If staff pay personally and claim back, a report-first tool handles approvals and reimbursement. Bookkeepers who mainly process supplier bills and receipts often prefer a capture tool like Dext.
Before you connect
Agree the chart of accounts and classes first; every tool imports them, and renaming later breaks mappings.
