QuickBooks Online / CRM
QuickBooks Online CRM integrations: what actually syncs between your CRM and your books
Short answer. If you want sales to create invoices that land in QuickBooks, HubSpot’s own integration and Method CRM sync invoices and payments; Method is built entirely around QuickBooks. Zoho CRM’s native integration brings invoices one way, from QuickBooks into the CRM. Pipedrive creates invoices from deals by hand. Salesforce relies on third-party connectors, so the details depend on which one you buy.
Check before you connect
- Where invoices are createdDecide whether sales creates invoices in the CRM or accounting does in QuickBooks; integrations differ on which direction invoices can move.
- Customer matchingQuickBooks needs unique customer names; CRMs that track several contacts per company can hit duplicate errors.
- Products and SKUsSeveral integrations match products by SKU or only sync certain product types; clean up your product list first.
- Who sets it upSome integrations need a super-admin or work only for the person who installed them.
Connections, by situation
Built around QuickBooks
Method CRM
- ⇄Customers
- ⇄Items
- ⇄Estimates, sales orders, invoices
- ⇄Sales receipts and payments
Method syncs customers, items, estimates, invoices, sales receipts and payments with QuickBooks Online in both directions, and describes the sync as real-time.
Watch out: Invoice creation is not in its entry plan, and it makes most sense if QuickBooks stays your system for years.
Already on HubSpot
HubSpot (QuickBooks Online data sync)
- ⇄Contacts ↔ customers
- ←Products ↔ products & services
- ⇄Invoices
- ?Credit memos
- ⇄Invoice payments
HubSpot’s own integration syncs contacts, products, invoices, credit memos and invoice payments, with a direction chosen per object.
Watch out: QuickBooks requires unique customer names, so a second contact from the same company can fail to sync; products match on SKU.
Zoho CRM users who invoice in QuickBooks
Zoho CRM (QuickBooks integration)
- ⇄Contacts and accounts
- ⇄Vendors
- ⇄Products (inventory type)
- ←Quotes, invoices, purchase orders
Contacts, accounts, vendors and inventory products sync both ways; quotes, invoices and purchase orders come into the CRM from QuickBooks.
Watch out: You can no longer create native quotes or invoices in Zoho CRM once it is configured.
Occasional invoices from deals
Pipedrive (QuickBooks app)
- →Invoices created from deals
- →Contacts (create or link)
- →Products (create or link)
- ←Invoice status
Pipedrive’s app creates an invoice from a deal and pulls back its status, creating or linking the contact and products.
Watch out: Manual per deal; product edits do not sync between systems.
Salesforce shops
Salesforce + QuickBooks connectors
- ?Accounts ↔ customers
- ?Invoices
- ?Payments
Several AppExchange connectors sync accounts, invoices and payments with QuickBooks Online.
Watch out: Intuit notes the integration is not native to Salesforce; objects and direction depend on the connector you pick.

Documented limits
| Connection | Limits the vendor documents |
|---|---|
| Method CRM | Built specifically around QuickBooks; less useful if you might change accounting systems. |
| HubSpot (QuickBooks Online data sync) | Customer display names must be unique in QuickBooks, so a second contact from the same company can fail to sync. Products match on SKU; unmatched invoice lines become a “Custom Line Item”. |
| Zoho CRM (QuickBooks integration) | Invoices and quotes only flow from QuickBooks into CRM; you can no longer create native quotes or invoices in CRM once configured. One QuickBooks company per Zoho CRM account; only inventory-type products sync. |
| Pipedrive (QuickBooks app) | Changes to existing products are not reflected between the two systems. No automatic invoice on deal stage in the official support article. |
| Salesforce + QuickBooks connectors | Intuit itself says its QuickBooks integration is not native to Salesforce; objects and direction depend on the connector you choose. |
Which way should invoices flow?
The most common integration mistake is creating invoices in two places. Pick one owner:
- Sales owns invoices: use an integration that pushes invoices from the CRM into QuickBooks (HubSpot, Method, Pipedrive).
- Accounting owns invoices: bring invoices into the CRM read-only so sales can see payment status (Zoho CRM’s native integration works this way).
Before you connect
Merge duplicate customers in QuickBooks, give products SKUs, and test with a handful of records. Integrations rarely delete records on the other side, so a bad first sync is slow to undo.
